We start with the company's workflows and approved tools. Exercises reflect each role's work and end with rules people can apply the next day, rather than a collection of tricks that expires with the next model release.
An AI solution is not truly delivered if only the supplier knows how it works. Handover identifies owners, access, data sources, integrations, known limits, human decision points, metrics and operating procedures.
We also document what happens when a model or integration fails, how an exception is reviewed, who may change a rule and when to escalate. The team learns how to operate the solution, recognise degradation and ask for help with useful evidence.
Good practice starts before the tool: minimise the data used, classify information, approve services and vendors, define access, retention and location, and keep personal data and trade secrets out of unapproved tools.
Then come traceability and control: known sources, output validation, records proportionate to risk, version management, monitoring and an incident process. This protects the company and allows the system to improve from evidence rather than impressions.
The EU AI Act makes AI literacy part of the responsibility of organisations that provide or deploy AI systems. The appropriate level depends on people's roles, the context and the risk of the system, which is why one presentation for the entire company rarely goes far enough.
