Reception and guest communication

Questions about opening times, services, parking, breakfast or policies can be answered from information approved by the hotel. The agent must acknowledge uncertainty and transfer the conversation to a person when necessary.

During pre-check-in, automation can collect data, check that required fields are complete and prepare the information for validation. Identity documents and sensitive data require additional controls and must not circulate through unsuitable channels.

Sales, upselling and events

After a booking, automation can suggest relevant services at the right stage of the guest journey without turning every message into advertising. For events, a structured flow can collect dates, attendee numbers, room requirements, catering and technical needs before commercial intervention.

AI is useful when the input contains free text, multiple languages or large amounts of information to summarise. Deterministic rules remain preferable for prices, availability and contractual terms.

Operations and back office

Emails, invoices, internal requests and documents can be classified, summarised and routed. A system can also identify missing information and prepare tasks for the relevant departments.

Automation does not remove controls. Reservation changes, payments, physical access and regulatory reporting should retain explicit validation and an auditable record.

  • Extract data from documents and emails.
  • Classify and route requests.
  • Prepare operational reports.
  • Flag exceptions and delays.

How to prioritise processes

Assess each process by volume, time consumed, stability of rules, data quality, impact of an error and ease of integration. Start where there is both value and control, not where the technology appears most impressive.

Frequently asked questions

Should every repetitive process be automated?

No. Some tasks are too infrequent, change too often or cost less to perform than to maintain as an automated workflow.

When should rules be used instead of AI?

Use rules for calculations, prices, permissions and decisions that must always produce the same result. Use AI mainly to interpret language, documents and context.

Can a hotel start without integrations?

Yes. A pilot can use controlled exports or prepare suggestions. Integration becomes important when the workflow moves into production.
